HENLLANFALLTEG COMMUNITY ASSOCIATION

Minutes of Henllanfallteg Community Association held on June 2nd 2007 in the Millennium Hall at 7.30 pm

Present  Josie Thomas, Elaine and Myrddin Pynn, Mike Calvert, Dave King, Eve Edwards, Mike Oliver, Bruce Jackson, John Spencer & Peter Icke.

Minutes  The minutes of the May AGM and Trustees meeting were received and approved.

Matters Arising from the Minutes

None.

Correspondence
.
Nikki Browne          Request to use part of the car park for temporary works and temp removal and then reinstatement of the hedge between the Hall car park and Spring Gardens was accepted – all as part of adding an extension to Spring Gardens. It was further agreed that the dividing fence need not be replaced where a wall was substituted as part of the planned works.

Inland Revenue       rating valuation. It was agreed to find out the valuation of other halls in the area as a comparison be fore making a decision.

Carm County Council        Business Rates demand – appeal documents requested. Tres to act upon receipt.

Henllanfallteg Community Council – Suggested that the Community Association were best placed to provide the footpath volunteers with insurance using membership of BTCV/Zuric during work activities. They offered to reimburse the Association with the cost of membership and the premium. After discussion it was agreed this was a sensible way forward and Sec and Tres instructed to take the necessary steps.

Stage

Request received via Bruce Jackson for the stage to be transferred to Llanboidy School on a permanent loan basis was agreed. Association Trustees would accept no liability over its use whilst on loan. The Secretary to write to head of school confirming details of loan and conditions.  Bruce to give users instruction on how to put it up and take it down. Users to be responsible for care and maintenance whilst in their care. Bruce agreed to make arrangements to transport the stage to Llanboidy.

Newsletter

Closing date for next edition was 18th June. County Councillor Mr Jimmy Morgan had kindly sponsored this edition.

Mike Calvert would deliver all copies, and a free  name competition for every household. Prize for nearest the time taken.

Future events

Open Gardens  Sunday July 1st.  Peter Icke to produce a map. Advertising on Radio Pembrokeshire. Charge £2.50 Teas £1.50 at Josie’s afterwards.

Fete  July 21st.  Program being prepared for printing. Helpers needed in the Hall.

Village Trip  5th August.  Quotes for bus awaited by the secretary.

Welcome Pack to be updated (DK)

Hall Bookings

28th June CCC Council Forum. Teas required at 17.30 and 18.45. Work team needed to set up at 17.00.

4th Aug – Private party provisional.

Past Events

Last walk to Tegfynydd and then St Malltegs was well supported and enjoyed, next walk in August.

Hall maintenance and decoration works.

Side bench to be finalised at the next meeting.

Mike Calvert and Mike Hermitage agreed to sort out next maintenance session – cleaning of the end wall.

Finance

Report attached

          Letter of thanks sent to J Morgan for sponsoring the Newsletter
          PVS licence paid.
          Band is in arrears with rent for Tuesday nights.
Charity Commissioners records need to be updated with current years finance return. 
Letter to be sent to Playing Field Trustees confirming conditions of the loan.
